This Privacy Policy explains what information houndkit collects, how we use it, and the choices you have. It applies to houndkit.com and the tools we provide through it (the "Service").
1. Information we collect
- Account information — your name, email address, initials, role, and profile settings when you or your clinic administrator creates an account.
- Clinic content — information your team enters into the Service, such as tasks, lab entries, schedules, case reviews, directory entries, and records requests. This can include client contact details and patient information your clinic chooses to store.
- Usage information — which tools are visited and when, used to operate plan limits and to understand what's useful. We do not sell this data or use third-party advertising trackers.
- Support communications — messages you send us, such as support tickets and emails.
2. How we use information
- To provide, maintain, and secure the Service.
- To send transactional email you or your clinic triggers — invitations, password resets, records-request messages, and notification emails you can turn off in your profile settings.
- To respond to support requests.
- To understand aggregate usage and improve the product.
Clinic content belongs to your clinic. We process it only to operate the Service on the clinic's behalf; we do not sell it, mine it for advertising, or use it to train machine-learning models.
3. Who can see your information
- Members of your clinic's workspace, according to the roles and tools your clinic administrators configure.
- Recipients your clinic chooses — for example, when your clinic emails a records request to a pet owner or a referral partner.
- Service providers that host and deliver the Service (see below).
- Authorities, if required by law — we will notify the affected clinic unless legally prohibited.
4. Service providers
We use a small number of infrastructure providers to run houndkit:
- Supabase — database, authentication, and file storage.
- Vercel — application hosting.
- Resend — transactional email delivery.
- Stripe — payment processing (when paid billing is active). We never see or store full card numbers.
5. Data retention and deletion
- We retain clinic content while the clinic's account is active.
- Clinics can export their data at any time from clinic settings.
- When an account is closed, we make data available for export for at least 30 days and then delete it from production systems, except where retention is required by law.
- To request deletion of your personal information, email support@houndkit.com. If your information was entered by a clinic (for example, as a pet owner in a records request), we may direct your request to that clinic, which controls that data.
6. Security
Data is encrypted in transit and at rest. Access to clinic data is enforced with row-level security so each clinic's workspace is isolated. Passwords are handled by our authentication provider and never stored in plain text. No system is perfectly secure — if we learn of a breach affecting your data, we will notify affected clinics promptly.
7. Cookies
We use cookies only to keep you signed in and remember your session. We do not use advertising or cross-site tracking cookies.
8. Children
The Service is for veterinary teams and is not directed to children under 16. We do not knowingly collect personal information from children.
9. Changes to this policy
We may update this policy from time to time. If a change is material, we will give notice through the Service or by email before it takes effect.
