These Terms of Service ("Terms") govern your access to and use of houndkit — the website at houndkit.com and the tools and services we provide through it (the "Service"). By creating an account or using the Service, you agree to these Terms. If you are accepting on behalf of a veterinary practice, rescue, or other organization (a "Clinic"), you represent that you have authority to bind that Clinic, and "you" refers to the Clinic.

1. The Service

houndkit provides workflow tools for veterinary teams — including task tracking, lab result tracking, calendars, staff scheduling, case review, records requests, and related features. houndkit is a team coordination tool. It is not a practice information management system of record, an official medical record, or a substitute for your legally required record keeping, and it does not provide veterinary or medical advice. You remain solely responsible for compliance with the veterinary practice, record-keeping, controlled-substance, and privacy laws that apply to your Clinic.

2. Accounts

  • You must provide accurate information when you create an account and keep it current.
  • You are responsible for all activity under your Clinic's accounts and for safeguarding credentials and PINs. Notify us promptly of any unauthorized use.
  • Clinic administrators control which staff members can access the Clinic's workspace and what tools are enabled. Removing a user ends their access but does not delete work history attributed to them.

3. Your data

  • Content your team enters into the Service — tasks, lab entries, schedules, case notes, client and patient information, and similar material ("Clinic Data") — belongs to your Clinic. We claim no ownership of it.
  • You grant us the limited rights needed to host, process, transmit, back up, and display Clinic Data in order to operate the Service.
  • You are responsible for having a lawful basis to enter any personal information about your clients and staff into the Service.
  • You can export your Clinic Data from the Service at any time while your account is active.

4. Acceptable use

You agree not to:

  • use the Service in violation of applicable law;
  • attempt to access another Clinic's data or probe, scan, or test the vulnerability of the Service without our written permission;
  • resell, sublicense, or provide the Service to third parties as a service bureau;
  • upload malicious code or use the Service to send spam or unlawful communications;
  • use automated means to scrape or bulk-extract data other than through export features we provide.

5. Plans, trials, and fees

  • Some features require a paid plan. Current pricing is listed at houndkit.com and may change with notice; changes apply at your next billing cycle.
  • Free tiers and trials are provided as-is and may have usage limits. When a trial ends, your Clinic moves to the plan you selected (or the free tier) and tools outside that plan become read-only or unavailable — your data is not deleted.
  • Fees are exclusive of taxes, which you are responsible for where applicable.

6. Termination

You may stop using the Service and cancel at any time. We may suspend or terminate access for material breach of these Terms, non-payment, or where required by law. After termination, we will make Clinic Data available for export for at least 30 days unless legal requirements dictate otherwise, after which we may delete it.

7. Disclaimers

THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE." TO THE MAXIMUM EXTENT PERMITTED BY LAW, WE DISCLAIM ALL WARRANTIES, EXPRESS OR IMPLIED, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT. WE DO NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, ERROR-FREE, OR THAT DATA WILL NEVER BE LOST — KEEP INDEPENDENT RECORDS WHERE THE LAW REQUIRES THEM.

8. Limitation of liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, HOUNDKIT WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR ANY LOSS OF PROFITS, REVENUE, OR DATA, ARISING FROM YOUR USE OF THE SERVICE. OUR TOTAL LIABILITY FOR ALL CLAIMS IN ANY 12-MONTH PERIOD WILL NOT EXCEED THE AMOUNTS YOU PAID US FOR THE SERVICE IN THAT PERIOD (OR US $100 IF YOU PAID NOTHING).

9. Changes to these Terms

We may update these Terms from time to time. If a change is material, we will give notice through the Service or by email before it takes effect. Continued use of the Service after the effective date constitutes acceptance.
