Follow Ups report setup and data

Clinic admins can fill in your links, match how the report writes names, and control how long old cases stay on the board. These settings are in Clinic Settings → Follow Ups. They save as you go, and the Saved message has an Undo button.

Setup

  • Links: add your Review link (usually Google) and your Booking link. They fill the {review link} and {booking link} placeholders. Each saves when you click away.
  • Daily nudge: turn on Send a daily nudge, set the Time, and pick the Groups or People who get it.
  • Visit types: list your visit types as they appear in the PIMS report. Follow-up types pick from this list. Add one in the box, or click a chip to remove it. Changes save as you add or remove.
  • Other info fields: carry up to three extra report columns onto each follow-up, such as appointment source. Name them here, then pick the right column when you upload a report. The pick is remembered.
  • Staff names: the report might say "DVM Kristin Miller" when your messages should say "Dr. Miller." This list lives in Clinic Settings → Reports → Staff Names, shared with QA. The Reports → Staff Names link takes you there. Type how each name should read under In messages. Changes save as you go.

Data

Keeping the board fast

  • Tidy up quiet cases after: once a case goes this many days untouched, its generated message texts and system activity are cleared. Appointment details, staff notes and follow-up statuses stay. Messages regenerate if the case is reopened.
  • Offer to delete cases after: sets which cases the cleanup offers to delete. Deleting never happens on its own.

Each number saves when you click away.

Deleting old cases

On the Follow Ups board, click Data. Under Clean up, you'll see how many old cases can be deleted. Tick Also delete cases still open to include open ones. Cases with an upcoming appointment are always kept.

Warning

Deleted cases can't be recovered. Download the CSV from the Data menu first if you want a copy. houndkit still remembers which reminders were already handled, so re-uploading an old report won't bring them back.
