Upload an appointment report
Import your PIMS appointment report to fill the board with the follow-ups your team needs to send.
Before you start
Export the appointment report from your PIMS as a CSV file. If you have them, export the Flowboard report and Visits report for the same dates too. They're optional.
Note
If your clinic uses the Reports tool, Upload report takes you to Reports. Drop your reports there, tick Follow Ups under Send to, and click the upload button. One upload feeds every tool that uses the reports. The steps below are for uploading inside Follow Ups.
Upload it
- In Follow Ups, click Upload report.
- Pick your PIMS report format.
- Click Choose CSV file and select the report, or drop it in. You can add the Flowboard and Visits reports in the box below.
- Check the column mapping. It's matched for you, so click Column mapping only if you need to adjust it. Each houndkit field, like Patient name or Appointment status, should point at the matching column in your file. Pick — not in this file — for anything your report doesn't have. Patient name and Appointment status are required.
- Look over the Preview. It shows how many follow-ups of each type the report will create, and for how many patients.
- To leave rows out, click Review rows and untick them.
- Click Import.
Your column mapping is remembered, so next time you can usually go straight to the preview.
What happens on import
- Each patient gets one case on the board. Follow-ups already on the board are merged in, so you won't get duplicates from uploading the same report twice.
- Some follow-up types only go out once per patient or once per client. If that message was already handled, the import won't create it again.
Tip
If the preview says no rows match your follow-up types, check the column mapping first. If that looks right, a clinic admin may need to adjust the follow-up types. See Set up follow-up types and templates.
Adding one by hand
For a single patient, click Add case instead. Choose a Follow-up type, fill in the patient, client and appointment details, and click Add follow-up.
