What Follow Ups is for

Follow Ups turns your PIMS appointment report into a to-do list of client messages: callbacks after surgery, review requests, reminders to send records, and more. Each message is written for you from a template, so your team just checks it, copies it and sends it.
How it works
- Someone exports the appointment report from your PIMS as a CSV and uploads it.
- houndkit checks each appointment against your clinic's follow-up types. For example, a completed dental visit might need a callback.
- Each patient who needs something gets one case, with their follow-ups listed inside. The board shows one row per visit.
- Staff open a case, copy the ready-made text into their texting or phone system, send it, and check it off.
houndkit doesn't send the texts itself. You send them from whatever system your clinic uses, and houndkit keeps track of what's done.
What's on the board
- The counts at the top show what's Overdue, Due today, Waiting on client and Done today. Click one to jump to that part of the list.
- Open cases are grouped into Overdue, Due today, Waiting on client and Coming up.
- The first dropdown switches between Open, Done and All cases.
- The tabs (All, one per follow-up type, and Mine when you have cases of your own) narrow the list to one kind of follow-up.
- Filters sets the order (Newest visit first or Oldest visit first) and narrows by Visit type, Staff, Appt status or visit dates.
- Data downloads the list as a CSV. Clinic admins can also clean out old cases here.
- Add case adds a follow-up by hand. Upload report imports a report. If your clinic uses the Reports tool, it takes you there.
Follow-up statuses
Each follow-up is Open, Completed or Not needed. When nothing on a case is left open, it moves to Done on its own.
