Help/On the Way

Log an incoming patient

Updated September 30, 2026

Add a patient to the On the Way board while you're still on the phone, so the whole team knows who's coming. Contact info, the complaint, the date and a status are required.

Steps

  1. On the On the Way board, click New Entry.
  2. In Patient / Signalment, type the patient's name or a quick description, like "5yo mn dog".
  3. Add the Client name.
  4. Enter Contact info: a phone number, email or link. Required.
  5. Describe the Presenting complaint. Required.
  6. Pick a Triage status. The first one is selected for you; tap it again to clear it.
  7. Set the Planned visit date (today by default) and an ETA if you have one, like "3pm" or "5–6 ish".
  8. Pick a Status. Required.
  9. Fill in the Referring clinic (see below).
  10. Tap any CSR flags that apply, like fees quoted or wait times explained.
  11. Add Notes if needed, then click Submit Entry.

The new entry opens on the right so you can keep working on it.

Referring clinic

Start typing to search your directory. Three options are always pinned at the top:

  • Your own clinic name, for when you're their regular vet.
  • No Regular Veterinarian.
  • Client, when the pet owner is the one sending them.

If the clinic isn't in your directory, click Add "…" to directory, or just leave the typed name in place and submit. Either way it's added to your directory, and your clinic admins get a notification that it needs an email address.

Warning

A status marked with a small ↵ archives the entry as soon as it's chosen. Don't pick one of those when you're logging a patient who hasn't arrived yet.
