Request records from a client

Ask a pet owner for the records they have at home. They can upload files, or tell you which vets they've used so your team can request the records for them.

Email the owner

  1. In Records, click Request from a client.
  2. Under Request From, Client is selected. Choose Email them.
  3. Enter the patient and client details. Client Email is required to send.
  4. Tick any Records Requested, and add tags, notes or a PIMS link if you like.
  5. Click Create & Send Email.

The owner gets an email with a secure link to an upload page.

Hand over the link instead

If the owner is at the desk or you'd rather text them, choose Just make a link, then click Create & Get Link. No email is sent and no email address is needed.

Open the request to see the link under Upload link — hand this over; no email was sent. Copy it into a text, or read it out.

What the owner sees

The upload page shows your clinic logo, the patient and what you asked for. The owner can:

  • Drop in files: PDFs, images, Word documents or DICOM.
  • Under No records handy?, add the previous clinics their pet has visited, with an email if they have it.
  • Leave a note for your team.

What happens next

  • Files uploaded: the request changes to Reply Received, the files appear in Just arrived, and the person who made the request gets a notification.
  • Clinics listed: each clinic becomes its own request in Ready to request, marked listed by the client. Check the details, then click Send. If a listed clinic matches one in your Directory, its email is filled in for you.

Tip

Clinics the owner lists aren't sent automatically. Someone on your team reviews each one first.
