Send records to another clinic

When another clinic needs your records, post a record to send from the task board. Whoever works that list attaches the files and emails them from houndkit.

Post a record to send

Anyone can do this, even if they don't work the list.

1. Open the task board and click Record to send.
2. Enter the Date of Visit, or tick the No visit box if the records aren't tied to one visit.
3. Pick the Vet Seen (DVM), or type a name for a relief vet.
4. Fill in Patient, Client and Link / Contact Info (a PIMS link, phone or email).
5. In Send Records To, pick a practice from the Directory or type a new one.
6. Under Radiographs to Send?, choose No, Yes — not sent yet or Yes — already sent.
7. Attach files now if you have them, or leave that for later.
8. Click Add to Tracker. If the files are attached and the clinic has an email, you can click Send Now instead.

Work the list

The Records to send table sits under the tasks, collapsed. Click its title to open it. It shows how many are waiting, and a red warning icon marks anything untouched for over 24 hours.

1. Click a row to open it.
2. Under Records document, upload the completed records.
3. If Radiographs is set to Yes — not sent, upload the images there too (PNG, JPG or DICOM).
4. Click Send Records Email.

The email goes out with the files attached, and the entry is marked Sent and archived. Use Show sent & archived to see past sends.

Who sees the list

A clinic admin can pick which teams work this list. Those teams see the table, get notified when someone posts a record to send, and get a card on their team space. If no teams are picked, everyone sees the table and nobody is notified. See Set up Records.
