File records when they arrive

When records come in, Just arrived shows them until someone files them. Here's how to work through a request and close it out.
Open what came in
- In Records, look at Just arrived. Each row shows the file name, the patient and who sent it. A to tick off badge means the request has follow-up checks waiting.
- Click a row to open the request.
Work the request
- Attachments: click a file name to download it. Use Add file to attach something yourself, like a fax you scanned.
- Upload to your PIMS: if a PIMS link was added to the request, or your admin set one up, a → upload to link sits next to Attachments and opens your PIMS in a new tab.
- Before this is done: if the request carries tags with checks (for example, "update vaccine history in the PIMS"), tick each one as you do it. Your name and the time are saved with the tick.
- Preventives found: a chart of vaccine, prevention and test dates read from the PDFs. See Read the Preventives found chart.
Close it out
- Click the status pill under Status and choose Uploaded.
- The request moves to the archive and drops off Just arrived.
You can also choose Archive from the same menu without changing the status, or Unarchive to bring a request back.
Keep the team in the loop
- Add a note at the bottom of the request. Type @ and a name to mention a teammate and notify them.
- The Activity log shows every change, file and email, including delivery problems like a bounced email, shown in red.
- Click Edit under Patient & Client to fix names or contact details.
- Use Edit under Internal tags to add or remove tags.
Note
Removing a file from a request takes it off the request for everyone. The removal is noted in the Activity log.
