Audit types, visit types and case fields
Audit types let a medication refill audit skip the sections that only apply to a full exam. Visit types tell imports which audit type each appointment gets, and when a visit ran long or checked in late. Clinic admins set these up in Clinic Settings → QA.
Audit types
On Audit setup → Audit types:
- Type a name in New audit type (for example, Standard Exam) and click Add type.
- Click the pencil to rename it or pick its Color and Icon. Auto puts back the automatic color. The color is what auditors read off the queue at a glance. Click Save.
- Click the audit type to open it and choose the Roles on this kind of visit and the Sections in this audit (see below).
- Roles on this kind of visit: the seats this kind of visit has. A refill audit might have no anesthetist. None picked means every role. This saves as you pick.
- Sections in this audit: the sections this type uses, in order. Add sections from Not in this audit type, drag or use the arrows to reorder, and click × to remove one. Click Save order.
An audit type with no sections chosen shows every section. Drag audit types to reorder them. The archive icon (you'll be asked to confirm) stops a type appearing on new cases.
Visit types
Audit setup → Visit types maps each visit type from your PIMS to an audit type. Each row has:
- Audit type: what an imported case of this visit type gets. Anything unmapped comes in untyped for the auditor to set.
- Visit length: in minutes. A case of this visit type that runs longer shows its visit length in red.
- Late check-in: in minutes. A client who checks in later than this shows in red. Arriving early never flags.
- Rebook: tick it if the client should leave with a next visit booked. The case flags when nothing was booked.
- Checkout: whoever took payment joins the case in the role you pick here, or Don't seat them.
Changes save as you make them.
Imports add visit types they haven't seen before, so the list fills itself in after the first few imports. You can also add one by hand: type it in Visit type as it appears in the PIMS…, pick an Audit type…, and click Map.
Two fallback numbers cover every visit type without its own:
- Alert on any other visit type past __ min
- Alert on any other visit type checking in more than __ min late
Leave either blank and only visit types with their own number will flag.

Case fields
Audit setup → Case fields adds your own fields to the case details on every review, such as an owner phone or a medical record number. Type a name in New field, pick a kind: Text, Long text, Date, Link or Dropdown, then click Add. Drag to reorder. Use the pencil to rename or change the kind, and the archive icon to remove one.
The built-in fields (audit type, dates, record link and patient info) always appear.
