What QA Auditor is for

QA Auditor is how your clinic reviews medical records after the visit. Auditors check each case against your own questions, note who made which error, leave feedback and to-dos, and track billing mistakes over time.

How an audit moves

  1. Cases come in. Import an appointment report from Digitail (in QA, or through the Reports tool), or start a case by hand with New review. Each case lands in the queue as a draft.
  2. An auditor works the case. They mark errors, seat the team who worked the visit, and write feedback for each person.
  3. Submit, then finalize. A draft is submitted, then finalized. Finalizing fixes the record. If your clinic uses a second check, a different auditor finalizes it or sends it back.
  4. Results reach the team. Depending on your settings, each person sees their own results the moment an audit is finalized, or when an auditor releases a batch.
  5. Follow-up. Team members work their to-dos, mark feedback as read, and can appeal anything they disagree with.

Who sees what

  • Auditors see the whole tool: the dashboard, the queue, every case, to-dos, appeals and each person's results. Clinic admins are always auditors.
  • Case Note Auditors see a list of cases to look at. They can write notes and suggest errors, but a full auditor has to accept them.
  • Everyone else never opens the tool. They see only their own results in the My QA tab on their dashboard, and only if your clinic shares results.

The dashboard

Open QA Auditor to see the state of your audits for a date range (30d, 60d, 90d, or your own dates):

  • Needs action links straight to cases waiting on your second check, appeals, suggestions waiting on you, overdue to-dos, stale drafts and released audits nobody has read yet.
  • The pipeline shows Pending review, Submitted and Finalized counts. Each tile opens the queue filtered to that stage.
  • Tiles for open to-dos, red flags, gold stars and billing errors. The flag and star tiles open to show who and which cases; the billing tile opens the Billing tab.
  • Most common errors and Audits finalized per week.
  • Scores, if your clinic grades with points.
  • Team dashboards, one chip per person (and per guest), showing open to-dos and average visit length.

Tabs across the top switch between Overview (all of the above), Learning (team focus areas, coaching, learning moments and where each role struggles), Billing and Workload.
