Import appointments from Digitail

Turn a Digitail appointment report into a queue of draft audits, with the vet already seated and the audit type already picked. Auditors can import; open the queue, click the … menu and choose Import. If your clinic uses the Reports tool, the menu says Upload reports instead and takes you there. See Upload reports.

What you need

  • Appointment report (required), exported from Digitail as CSV. This creates the cases.
  • Other reports (optional), exported for the same dates:
  • Flowboard adds the record link, check-in, wait, exam and total visit times.
  • Visits adds species, age, spayed/neutered, weight and microchip. It can also bring in visits with no appointment (refills, pickups) as their own cases, if your clinic allows it.
  • Payments adds who checked the client out.

Note

Upload the reports together here. On this page a report added later does nothing, because a re-import skips cases already in the queue. To fill in a forgotten Flowboard, Visits or Payments report, upload it on its own from the Reports tool. It fills blanks on cases still in the queue.

Import step by step

  1. Upload. Click Choose CSV file and pick the Appointment report, plus any other reports. You can pick several files at once; houndkit sorts them by their columns. Use Choose reports under Other reports to add more. You can also open Or paste rows, paste CSV text and click Parse →.
  2. Columns. Check each column is mapped to the right field (Date, Time, Client name, Patient ID, Pet name, Staff / DVM, Visit type, Record link, and a few secondary ones). Set anything you don't want to Ignore. Your choices are remembered for next time. If you added other reports, you'll see how many appointments each one matched.
  3. Staff. Under Who are these people?, match each staff name from the report to a team member or a guest team member. You only do this once per name; future imports seat them automatically. Unmatched names still import, with nobody seated.
  4. Preview. Check the first few cases, then click Create N drafts →.

When it's done, click Go to the queue →.

What gets skipped

The preview and the result screen tell you what didn't come in:

  • Cancelled and no-show appointments (no visit to audit).
  • Future appointments. Import again once they've happened.
  • Rows with no patient, client or ID.
  • Cases already in the queue. The same appointment never lands twice.

If your clinic uses Audit sampling, only the chosen share of each DVM's day arrives as drafts. The rest arrive marked not needed.

If your clinic splits new cases between auditors, imported cases can arrive already claimed.

Where to start the next report

The Last import banner shows when the last import ran, who ran it, and the date appointments were imported through. Start your next export from that date. Overlap is fine, since duplicates are skipped.

Audit types and timing alerts

Each case's visit type picks its audit type, based on the mapping in Clinic Settings. Unmapped visit types arrive untyped. The same mapping sets when a visit length or late check-in shows in red. See Audit types, visit types and case fields.
