Case Note Auditors: notes and suggestions
If you're a Case Note Auditor, you can look over cases, leave notes for the auditors, and suggest errors. A full auditor decides what goes on the audit. This article is for you, and for the auditors who review your suggestions.
Your list: Cases to look at
Open QA Auditor and you land on Cases to look at, the cases still waiting to be audited. You won't see scores, finalized cases or anyone's results.
- Week shows a week at a time, each day's patients grouped under the DVM who saw them. List shows one row per case. Your choice is remembered.
- My cases shows only the cases you're seated on. DVMs start with their own cases showing.
- Everyone's cases lets you pick someone else's list.
- Search by client, pet, ID or staff name, or use Filters for audit type and visit dates.
SOAP checklist
Tick SOAP on a case to mark it done, meaning you've reviewed the record and expect no more edits. It's your own checklist. Hide done hides the ones you've ticked, leaving only your remaining work.
Quick notes
Click Quick note (or the note icon in Week view), type what you noticed and press Enter. Quick notes go to the auditors only. They're never shown to the team.
Suggesting errors
Open a case to see the full audit form in Suggestion mode:
- Tick anything you spot, just as an auditor would. Your tick shows in blue with your face beside it.
- Add Why? A note for the auditor (optional) under it.
- In a billing grid, add rows the same way. They're saved as suggestions.
Your case notes, feedback notes and auditor-only notes post normally. You can't add to-dos, submit or finalize.
Not reviewed cases
Cases marked Not reviewed show an orange chip. They should have been audited but weren't. Leave a note or suggestion on one and it goes back to the queue as a draft, and the auditors get a notification.
For auditors: reviewing suggestions
A case with suggestions shows a blue banner saying how many are waiting, and Needs action on the dashboard counts them. In the queue, Filters → Suggestions → Has suggestions to review finds them. On each suggested row:
- The check mark (Accept) records the error on the audit.
- The X (Dismiss) leaves the audit unchanged.
Approve suggestions (N) in a section accepts every suggestion there you haven't answered yourself. Billing suggestions have Accept and Reject buttons on the row. A case can't be submitted or finalized while suggestions are waiting.
