Auto-fill a week

Auto-fill drafts staff for the empty slots on a week's blocks. Nothing is saved until you review the draft and apply it. This is for clinic admins.

Before you start

Auto-fill needs a few things in place:

• Shift types & staffing needs, Work preferences & availability and Auto-fill a week turned on in Clinic Settings → Schedule → Features.
• At least one shift type with staffing needs, and DVM blocks placed for the week. See Shift types and staffing coverage.
• Job roles assigned to people under Clinic Settings → Schedule → Job roles → Who works which role. Auto-fill only suggests someone for a role they hold.

Staff preferences help, but they're optional. See Set your work preferences.

Draft and apply

1. In the Scheduler, go to the week you want.
2. Tap Auto-fill in the toolbar.
3. Review the Suggested staffing list. Each row shows the day, the person, the role, the hours, and why they came up.
4. Tap the X on any row you don't want. Tap Put back to restore it.
5. Tap Add … shifts to save the rows you kept, or Cancel to save nothing.

The new shifts are matched to their blocks, use the block's hours, and have no break. Edit any of them afterward if you need to.

How people are chosen

Someone is never suggested if they:

• don't hold the job role
• have approved time off that day
• already work overlapping hours, including another suggestion in the same draft
• marked those hours Can’t work

Among everyone left, auto-fill favors people who:

• prefer to work those hours
• have a skill the block still needs
• have fewer hours already scheduled that week, so work is spread out

People who marked the hours Rather not move to the back of the line.

Auto-fill fills each role up to its minimum. It doesn't add optional or extra people.

When nobody fits

If a slot can't be filled, it's listed under Nobody available for these rather than given to someone who doesn't qualify. Fill those by hand, or post them as open shifts.
