Shift types and staffing coverage

Shift types let you staff the day around your doctors. A DVM works a block, like Urgent Care or Surgery, and the block asks for the support staff it needs. This is for clinic admins whose clinic has turned on Shift types & staffing needs.

Create a shift type

  1. Go to Clinic Settings → Schedule → Shifts.
  2. Tap + Add shift type and give it a name and color.
  3. Set Usual hours. These fill in when you pick the type, and you can still change them per shift.
  4. Under Worked by, pick the role that works the block, usually DVM.
  5. Under Staffing this type needs, use + Add a job role… and set a min and max for each role. Leave max blank for no cap. A min of 0 makes an optional slot.
  6. Tap Add type.

A type with no roles listed is just a colored label on a shift. Drag types to reorder them. Archive hides a type from new shifts, but shifts already placed keep it. You can Restore it later.

Place a block

  1. In the Scheduler, add a shift for the DVM.
  2. In Shift type, pick the type. The hours, color and lead role fill in, and the window tells you what staffing it asks for.
  3. Save.

Staff the block

Switch the Scheduler to Blocks (next to People). Each day lists its blocks. Each block shows its roles as filled over required, for example 1/2.

  • Tap a red + needed slot, or a gray + optional slot, to add a shift matched to that block.
  • Pick the person, their times, and the Job role. Only shifts with the matching job role count toward that slot.
  • Tap a name to edit that person's shift.

Read the coverage badges

Day headers and blocks show a badge:

  • Covered: every role has its minimum.
  • N short: that many people are still needed.
  • Over: a role has more people than its max.
  • Skill gap: headcount is fine but a skill rule isn't met.

The Still needed total also appears in the stats row.

Skills

If your clinic has also turned on Skills:

  1. On the Skills tab, type a skill like "Surgery trained" in New skill and tap Add.
  2. Under Who has what, tap each person's skills.
  3. In a shift type, next to a role, set at least a number who must be a chosen skill. For example, at least 1 VA must be surgery trained.

Good to know

  • Moving a matched staff shift to another day unlinks it from its block. Moving it to another person on the same day keeps the link.
  • Copy last week copies blocks and staff shifts, but the staff shifts come over unlinked. They stay on the schedule as plain shifts and don't count toward the new week's block coverage.
