Pick up an open shift

Open shifts are shifts nobody is on yet, posted for the team to pick up. They're handy when someone calls out. You'll only see them if your clinic has turned on open shifts.

Take an open shift

When there's something open, an Open shifts panel appears at the top of the My schedule tab. Each one shows the day, hours, job role and, sometimes, why it's open.

• Take it means first come, first served. Tap it and the shift goes straight onto your schedule.
• Ask for it sends your request to an admin. The shift shows Waiting on your admin until they decide. You're notified either way.

You can't pick up a shift that overlaps one you already work. If someone beats you to it, you'll see a message saying it's already taken.

For clinic admins: post an open shift

1. Open the Scheduler. The Open shifts panel sits above the grid.
2. Pick the date, start and end times, and a job role (or Any role).
3. Choose how it fills: You approve or First come.
4. Add a reason if you like, then tap Post.

People assigned that job role get a notification. If you chose Any role, the whole team does. Job role assignments live in Clinic Settings → Schedule → Job roles, under Who works which role.

For clinic admins: handle a call-out

To free up a shift someone can't work:

1. In the Scheduler grid, hover over the shift and tap the small send icon (Release as an open shift).
2. Enter a reason if you want, then confirm.

The shift comes off that person's schedule and is posted as an open shift that needs your approval. The person is notified that it was released.

For clinic admins: approve or remove

• When someone asks for a shift, it shows who wants it with Approve and Decline. Approving adds it to their schedule. Declining puts it back on the board for someone else.
• Tap the X on an open shift to take it down.
