Build and publish a week

Clinic admins build each week in the Scheduler, then publish it so the team can see it. Open it from the Open Scheduler button on the Schedule page.

Add shifts

There are three quick ways to add a shift:

  • Tap a cell. Tap the empty space in a person's row on a given day. The New shift window opens with that person and day filled in.
  • Paint with a template. Tap a template in the Templates row above the grid to arm it, then tap any cell to drop that shift in. Tap the template again to stop.
  • Add in bulk. Tap + Shift. Pick several Team members, add several days with Add day, and set the times once. The button shows how many shifts it will make.

In the New shift window you can also set:

  • Start, End and Break. houndkit shows the paid hours (length minus the unpaid break).
  • Job role, an optional Label, a color, and Notes.
  • Repeat weekly until: pick an end date and tap Add those days. Each date is added to the list so you can remove any before saving.
  • ★ Save this shift as a template to reuse it later.

If the person already works overlapping hours or has approved time off that day, you'll see a heads-up. You can still save.

Change shifts

  • Edit or delete: tap a shift to open it, then Save changes or Delete.
  • Move: drag a shift to another person or day.
  • Copy: hold Alt (Option on a Mac) while dragging.
  • Copy last week: adds all of last week's shifts to this week. It doesn't clear what's already there, so use it on an empty week.

Read the week

  • The stats row shows hours Scheduled, Labor cost, and how many people are On the schedule. It also shows Still needed, Open shifts and Hours flags when they apply.
  • Each row shows the person's paid hours. Day headers and the Totals row show daily hours.
  • A red edge on a shift means it clashes with approved time off.
  • Use Find someone…, the All roles filter, or Empty (hides people with no shifts) on long rosters.
  • If your clinic uses hourly rates, the $ checkbox shows or hides labor cost.
  • The printer button prints the week.

On a phone, the Scheduler shows one card per day with + Add a shift.

Hours warnings

If your clinic has turned on hours warnings, the Scheduler flags:

  • More than 40 paid hours in the week (marked OT by the name)
  • Less than 10 hours off between two shifts
  • More than 6 days in a row
  • A single shift longer than 14 hours (a quieter note)

Hover over the badge by a name to read the details. These are warnings only.

Publish

Staff can't see a week until you publish it.

  1. Check the week, then tap Publish week.
  2. The button turns green and reads Published.

Everyone with a shift that week gets a notification. If your clinic has turned on the Clinic Feed post, a post goes up too.

To take a week back into draft, tap Published again. Staff stop seeing it, but nobody is notified. Changes you make to a published week show up for staff right away.

Tip

Staff view at the top of the Scheduler opens the read-only Schedule page. As an admin you'll still see unpublished weeks there.
