Manage time off
Clinic admins approve time-off requests, add time off for someone, and can set rules that warn about or block certain dates.
Approve or deny a request
You're notified when someone asks for time off. The Time off tab on the Schedule page shows a count.
- Open Schedule and go to Time off.
- Under Pending requests, read the dates, type, reason and any answers to your clinic's questions.
- Tap Approve, or tap Deny, add an optional note to the requester, and tap Confirm deny.
The requester is notified either way. Approved time off appears on the schedule, and any shift that clashes with it gets a red edge in the Scheduler.
Add or remove time off
- To record time off for someone, tap Add time off, pick the Team member…, the type and dates, and tap Add (auto-approved). They get a notification.
- To remove approved time off, find it under Upcoming time off and tap Remove.
Set time-off rules
Turn these on in Clinic Settings → Schedule → Features under Time off. Then set them up on the Time off tab. Changes there save as you make them, with an Undo button in the Saved message.
Custom request questions
Tap + Add question, type the Question, and pick an Answer type: Short answer, Long answer, Multiple choice or Yes / no. Tick Required if it must be answered, then tap Add question. Answers are saved with each request, so rewording or archiving a question never changes an old request.
Too-many-off warnings
Under How many can be off at once, tap + Add limit. Set "At most" a number of people in a role (or people (any role)) off on a day (or any day). Each change saves on its own. Tap the trash icon to remove a limit.
A request over the limit still goes through. The person sees a warning on the form. Only approved time off counts toward the limit.
Blackout dates
Tap + Add blackout dates, pick the dates and add a reason staff will see in Why (shown to staff), then tap Add.
- Tick Block outright (otherwise it only warns) to stop requests for those dates. They show as Blocked.
- Leave it unticked to warn only. They show as Discouraged.
Who works which role
Role limits only count people assigned to that role. Use Who works which role on the Job roles tab to tap each person's roles. The link under your limits shows how many people are set and takes you there.
Note
Blackout dates and limits apply to requests staff send. Time off you add yourself with Add time off isn't checked against them.
