Records to send on the task board
If your clinic uses the Records tool, records that need to go out to another clinic are tracked right on the task board. Anyone can post one, and the team who sends records works the list.
Post a record to send
- On the task board, click Record to send.
- Set the Date of Visit, or tick No visit if the records aren't tied to one visit.
- Pick the Vet Seen (DVM), or type a name for a relief vet.
- Fill in Patient, Client and Link / Contact Info.
- In Send Records To, search your directory or type a new clinic name. For a new clinic you can add an email and tick Save to clinic directory for future use.
- Answer Radiographs to Send?: No, Yes — not sent yet or Yes — already sent.
- Attach files now under Records and Radiographs, or skip and add them later.
- Click Add to Tracker. If you attached files, you can click Send Now instead to email them straight away.
Work the list
The Records to send table sits under the tasks and starts collapsed. Click its title to open it; it stays open for you next time. The title shows how many are waiting. A red warning icon marks anything waiting more than 24 hours.
- Click a row to open it.
- Upload the completed records under Records document.
- If radiographs are needed, upload them under Radiographs (PNG, JPG or DICOM).
- Click Send Records Email. If something is missing, houndkit tells you what to add first.
Once the email goes out, the entry is marked Sent and archived. Click Show sent & archived to see the last month of them. You can also Archive or Unarchive an entry yourself, and log check-ins or @mention teammates at the bottom of the panel.
Note
Clinic admins can limit the table to the teams who send records. Everyone can still post one. See Choose who works Records to send.
