Training permissions, check-in forms and library settings

Clinic admins decide who manages training, who signs off skills, what the mentor check-ins ask, and how SOPs and Knowledge are organized. Everything here lives in Clinic Settings → Training & SOPs. You can also get there from the gear icon on the Training page.

On Who can do what and SOPs & Knowledge, changes save as soon as you make them. The Saved message has an Undo button.

Who can do what

On the Who can do what tab, tap Groups or pick People for each list:

  • Training management: adds trainees, schedules mentor check-ins, signs off skills, and reads every check-in report. Clinic admins always can.
  • Signing off skills: for leads and senior staff who check competency but don't need to see feedback.

Switch on Mentors can sign off their own trainees to let mentors sign off the people they mentor. Nobody can ever sign off their own skills.

Check-in forms

On Programs → Check-in forms, edit the questions mentors answer at each check-in. Every clinic starts with a Mentor check-in form.

  1. Pick a form, or click New form.
  2. Give it a Form name and Description.
  3. For each question, pick an Answer type (1–5 stars, Pick one or Written), and switch on Required if it must be answered.
  4. Click Add a question for more, and use the arrows to reorder.
  5. Click Save form (or Create form).

Answers go to management only, never to the trainee. Archiving a form keeps the answers already filed with it. Pick which form each role uses under Check-in form in Programs → Plans by role.

SOPs & Knowledge

On SOPs & Knowledge:

  • What your team sees in Knowledge: switch off any list to hide its tab and search from the team. Admins still see it, marked as hidden. Fetch still teaches from it, and its words are still explained on hover.
  • "What is the client seeing?": turns the symptom lookup in Knowledge → Conditions on or off.
  • Categories and codes: in the SOPs and Knowledge columns, type a New category and a short CODE, then click the plus button. Edit a name or code right in its row; it saves when you click away. New entries number themselves in order, like SOP SX-3. Numbers are never reused, even when an entry is archived.

Click Number [count] uncoded entries under a category to give codes to entries that don't have one yet. Removing a category asks you to confirm, and leaves its entries uncategorized, with their codes.
