Add and manage skills

Updated September 30, 2026

Skills are the things your team needs to be able to do, like placing an IV catheter or taking a phone history. Training management can add, edit and archive them from the Skills tab.

Add a skill

  1. Go to Training → Skills and click New skill.
  2. Type the Skill name and pick a Skill level (see the table below). Add a Category, Tags, and What "competent" looks like.
  3. Under How it's completed, pick Sign-off (someone authorized signs off) or Checklist (the trainee ticks it off).
  4. Under Which roles need this?, tick each role that trains on it.
  5. Link SOPs & knowledge for the "why", and add Resources such as videos or Docs links.
  6. Set File uploads to Off, Allowed or Required. Required means the trainee uploads a file, like a certificate, before it can be checked off or signed off.
  7. Click Add skill.

To place the skill in a particular module, arrange it in the role's plan. See Set up a role's training plan.

Continuing education

Switch on Continuing education for electives. They never count toward being trained, and they sit under the plan as optional extras for anyone who wants to go further.

The skill levels

LevelNameWho it's for
0StarterMust know before learning the role's foundation
1FoundationEveryone in the clinic
2CoreA VA who can run rooms, a CSR who can take calls
3ExperiencedAn experienced CSR or VA
4LeaderSets the standard
5AdvancedBeyond what's expected of the role

Add many at once

Click Bulk add to paste skills from a spreadsheet or choose a CSV. Click Template CSV for the column layout.

Edit several skills at once

Tick skills in the table and a bar appears at the bottom. From there you can Set level, Add to role, Remove from role, add or remove a tag, move them to a category, change Completed by, Archive or Delete.

Note

Archiving takes a skill off every plan but keeps every sign-off. Deleting a skill someone already completed archives it instead, so nobody's record loses a line. Bring archived skills back with the Show filter set to Archived.

Open any skill to see who's signed off, which tests cover it, and to Edit or Archive it.
