Write and publish an SOP or Knowledge article

Clinic admins write SOPs and Knowledge articles on a full-page writer. Drafts save as you go, and nothing is visible to the team until you publish.

Start a new page

  1. Go to Training → SOPs and click New SOP, or Training → Knowledge and click New article.
  2. Pick a starting point. SOP starters include Standard procedure, Emergency protocol and Cleaning or equipment. Knowledge starters include Term definition, Dose card, Quick how-to and Cheat sheet. Your clinic's own templates show first. Or pick Blank page.
  3. Type a title, then write.

Writing tips

  • Type / at the start of an empty line for headings, Numbered steps, a Checklist, Warning, Tip and Note callouts, a Table or a Divider.
  • Type @, or use the @ button, to link to another SOP, Knowledge article, doc or form in houndkit.
  • Use the picture button to add a picture or diagram.
  • Select a word and click Define to add it to the glossary.

Your draft saves automatically. The status next to the title shows Saving… or Draft saved.

Details

Click Details to set:

  • Category and Reference code. If the category has a code, the page is numbered automatically when you publish, like SOP SX-3.
  • Tags, Effective and Review by dates, and an Owner.
  • Who has to read it: tick Everyone must mark it read, and tick roles under Must know — on these roles' training plans to put it on those plans as reading.
  • Reference links, listed at the bottom of the page.
  • PDF: attach a PDF under 25 MB.

Publish

  1. Click Publish (or Publish changes on a page that's already out).
  2. Add a note for the history. If you changed the text of a published page, What changed? is required and the version number goes up.
  3. Click Publish again (or Publish v[number]) to confirm.

Note

When the text of a published page changes, everyone who has to read it is asked to read it again.

Other buttons at the top: Discard changes (or Delete draft if it was never published), Save as template, and Review to ask a teammate to look at it first. See Ask for a review before publishing.
