Write a competency test

Updated September 30, 2026

Clinic admins can write timed competency tests, place them on a role's plan, and link them to the skills they cover. Every attempt is graded, then confirmed by a second person before the trainee sees the result.

Create the test

  1. Go to Clinic Settings → Training & SOPs → Tests and click New test.
  2. Give it a Test name, a Description (shown on the plan) and Instructions (shown right before they start).
  3. Set the Time limit in minutes. When time runs out, what they've answered is submitted.
  4. Set Questions per attempt. If the question bank has more questions than this, each attempt draws a different set, favoring ones the person hasn't seen.
  5. Set the Pass mark and, if you want a limit, Attempts allowed.
  6. Under Where it sits in training, tick the roles that take it, and optionally which module it sits in. A role can have several tests, like a mid-way check and a final.
  7. Pick the Study material (SOPs and Knowledge it covers) and the Skills it covers. A pass then shows on those skills for whoever signs them off.
  8. Click Create test. Later changes to these details need Save test; you're asked before leaving with unsaved changes.

Add questions

In the Question bank, click Add a question and choose a Question type:

  • Pick one and Pick all that apply score themselves. Graders can adjust.
  • Short answer and Written answer are scored by a grader.

Set the Points, and write a Rubric: what full marks looks like. Only graders see it. For pick-one and pick-all, mark the correct choice and add Why this is the answer if you like. Click Add question.

You can also fill the bank quickly:

  • From fast facts: facts with at least two wrong answers become pick-one questions; others become short answers a grader marks.
  • Tell Tail cases: pick which cases, front desk or phone, a level, question type and how many, and houndkit adds triage cases as questions.

Publish it

Switch on Published, then click Save test. You need at least one question first. Drafts don't appear on anyone's plan. Editing a question later never changes past attempts.

Note

Archive (you're asked to confirm) takes a test off every plan. Attempts already taken stay on each person's record.

Next: Take and grade competency tests.
