Set up a role's training plan
Clinic admins can build a training plan for each role: which skills, SOPs, tests, Fetch units and Tell Tail sessions a new team member works through, and in what order.
Roles are your clinic's Groups, so add those in Clinic Settings → Groups first.
Build a plan
- Go to Clinic Settings → Training & SOPs → Programs and choose Plans by role.
- Pick a role on the left.
- Under Modules, name the stages of training, like "Getting started" or "Treatment room". Click Add a module for more, and drag to reorder.
- Under The plan, module by module, click Add in a module to put work in it. You can add a Skill, a Test, an SOP / reading, a Fetch unit, a Tell Tail session or a Note for trainees.
- Drag anything to change its order or move it to another module.
- Click Save [role] plan at the bottom. The plan doesn't save on its own: the bar says Unsaved changes to this plan until you do, and you're asked before leaving with unsaved changes.
A trainee moves on when the work in a module is done. Only published tests can go on a plan.
Tip
Put a test right after the skills it covers, and use a note where trainees need a heads-up, like "This module is mostly shadowing."
Deadlines are optional
Each module has an optional by week box. Leave it blank and nobody is ever shown as behind on that module. Fill it in and anyone still working on it after that week shows as Behind.
Mentor check-ins and the welcome note
Under Mentor check-ins:
- Check-in form: the feedback form mentors fill in for this role.
- Check in after: tap the modules after which a check-in should happen. They're scheduled when someone starts the plan, and managers can move or add check-ins per trainee.
Under For trainees, the Welcome note and Program resources show at the top of the trainee's plan.
Tell Tail sessions on a plan
A Tell Tail step sets a mode, a level (Starter, Core or Experienced), front desk or phone where it applies, a number of rounds and a pass mark. It ticks itself off as the trainee plays qualifying rounds. Nobody marks it by hand.
Roles that don't train
Some roles are about permissions rather than skills, like managers. Switch off [role] goes through training at the top of that role's page. This switch saves straight away, with Undo. The role isn't offered for plans, skills or self assessment quizzes, and its plan is kept if you switch it back on.
