Invite your team
Clinic admins add people to houndkit from Clinic Settings → Team members. You can invite one person at a time or paste in a whole list.
Invite one person
- Go to Clinic Settings → Team members and tap Invite.
- Fill in Email and First name (both required). Last name, Goes by, Initials and Job title are optional.
- Choose a Role: Staff or Admin. Staff use the tools you give them. Admins open every tool, see Clinic Settings and can manage the team.
- Tick any Groups they belong to.
- Under How they get in, pick Email them an invite or Set a starting password (see below).
- If you like, enter a 4-digit Starting PIN (optional) so they can unlock houndkit from day one.
- Tap Send invite or Create account.
Tap Invite another to keep going, or Done to finish.
Which way in?
- Email them an invite sends an email so they can finish setting up and choose their own password. Good for people who check email.
- Set a starting password makes the account right away. Type a password (at least 8 characters) and houndkit emails them their sign-in details. They'll be prompted to choose their own password after signing in. Handy when you're onboarding someone in person.
Note
If the email already has a houndkit account (for example, they work at another clinic too), they're added to your clinic and keep signing in with their own password. Nothing about their account is changed.
Invite a list of people
- Tap Bulk invite.
- Paste one person per line:
email, first name, last name, job title, role. Only email and first name are needed. Everyone is staff unless you writeadminas the role. - Tap Send invites.
Keep track of who's in
The Team members list has filters along the top: Active, Admins, Never signed in, Temporary password and Deactivated, each with a count. You can also search by name, title or email, or narrow the list to one group.
Tap Roster to download the current team as a spreadsheet.
The Overview page flags anyone who hasn't signed in yet. A temporary password is often the fastest fix. See Help a teammate sign in.
Seat limits
If your plan has a set number of seats and you've used them all, the invite buttons are turned off and a note explains why. Upgrade under Plan & billing, or deactivate someone who's left to free a seat.
